GVRA Set to Launch New Intake Unit

GVRA is set to launch a new virtual Intake Unit on October 1, paving the way for a more efficient process for serving potential clients across the state. With the new unit, an Intake Specialist will manage all referrals coming into GVRA, serving as the client’s first point of contact. The Intake Specialist also will handle the initial document gathering, allowing local counselors to focus more on providing client services.

"We want to ensure we set the Vocational Rehabilitation (VR) process off on the right path so we can have a successful outcome whenever it gets to the local counselor,“ says Intake Manager Matthew Salmon. The average time from referral to the planning process is 180 days. With the new Intake Unit in place, this timeline will be reduced to a maximum of 30 days.

The new intake unit process is as follows:

  • Initial Contact: Once a referral is made, an Intake Specialist will contact clients within four business days to explain the VR program and assist them in obtaining their records.
  • Application Scheduling: The Intake Specialist will schedule an application appointment with the client. If clients promptly upload their documents, the Intake Specialist will process their applications on the same day.
  • Application Review and Assignment: After reviewing the client's application, the Intake Specialist will provide the local supervisor with important details about the client. The supervisor will then review the case and assign it to the most suitable counselor, ensuring a collaborative approach to the client's journey.
  • Eligibility Determination and Planning: The assigned counselor will determine the client's eligibility and contact them if they are eligible. The counselor will then develop a personalized plan for the client.

This new intake unit aims to enhance customer service, expedite processing, increase efficiency, and improve clients’ outcomes, demonstrating GVRA's commitment to delivering high-quality VR services.
